Information We May Collect

We may collect personal information that you choose to provide to us, including your name, email address, telephone number, mailing address, and other information you provide when completing a registration, application, contact form, newsletter signup, volunteer form, vendor or sponsorship application, or other form.

When you visit our website, certain technical information may also be collected automatically. This may include your IP address, browser and device information, pages visited, referring website, date and time of access, interactions with the website, and similar usage information.

We aim to collect only the information reasonably necessary for the purposes described in this policy.

Event Registration and Ticket Purchases

Sound Heart Conference event tickets, including General Admission, child admission, and Kids Program tickets, are processed through Eventbrite.

When you purchase or register for a ticket through Eventbrite, the personal and payment information you provide is processed through Eventbrite and its applicable payment services. We may receive information from Eventbrite that is reasonably necessary to administer the event, communicate with attendees, manage registrations, provide customer support, and operate conference programs.

We do not need or intend to store your full payment-card information on the Sound Heart Conference website.

Your use of Eventbrite is also subject to Eventbrite’s own terms and privacy practices.

Children and the Kids Program

Registration for the Sound Heart Conference Kids Program should be completed by a parent, guardian, or other responsible adult.

We may receive information necessary to administer a child’s registration and participation in the Kids Program. We use such information only for appropriate program, registration, communication, safety, and administrative purposes.

We do not knowingly request children to independently provide personal information through the website where parental or guardian involvement is appropriate.

How We Use Personal Information

We may use information collected through our website and related services to operate and improve the Sound Heart Conference; process registrations and applications; respond to questions and requests; communicate important event information; administer volunteer, vendor, sponsorship, Kids Program, and other conference activities; send newsletters or promotional communications where permitted; understand how visitors use our website; measure the effectiveness of our communications and advertising; prevent misuse, fraud, or security incidents; maintain appropriate records; and comply with legal or regulatory obligations.

We will not use personal information for a materially different purpose without obtaining consent where consent is required.

Email and Marketing Communications

If you subscribe to our email list or otherwise consent to receive communications from us, we may send you information relating to Sound Heart Conference, Khalid Bin Al Walid Mosque programs, events, services, and related opportunities.

Where Canada’s Anti-Spam Legislation applies, commercial electronic messages are subject to requirements concerning consent, identification information, and an unsubscribe mechanism.

You may unsubscribe from marketing emails at any time by using the unsubscribe link included in the email or by contacting us (or emailing us).

Unsubscribing from promotional messages does not necessarily prevent us from sending communications that are necessary to administer an event registration, transaction, program, or request you have made.

Cookies and Similar Technologies

Our website may use cookies, pixels, tags, and similar technologies to operate the website, remember preferences, understand website usage, measure performance, and evaluate or improve our communications and advertising.

These technologies may collect information such as your IP address, device and browser information, pages viewed, interactions with the website, referral information, and approximate geographic information derived from technical data.

We may use website analytics and advertising services provided by third parties, including services from Google, Meta, and TikTok.

Some cookies or similar technologies may be necessary for the website to function. Others may be used for analytics, measurement, or advertising purposes.
Where consent is required or appropriate, visitors should be given a meaningful choice regarding non-essential cookies and similar technologies. The Office of the Privacy Commissioner recommends transparency and meaningful consent for the collection, use, and disclosure of personal information, including appropriate choices for non-essential purposes.

Advertising and Measurement Technologies

We use advertising and measurement technologies provided by third-party platforms, including Google, Meta (Facebook and Instagram), and TikTok, to understand how visitors interact with our website, measure the effectiveness of our advertising, and, where permitted, show relevant advertising to people who have previously visited or interacted with our website.

These technologies may include the Google tag and Google Analytics, Meta Pixel, and TikTok Pixel, and may use cookies, pixels, device identifiers, IP addresses, browser and device information, page visits, interactions, and other similar technical information.

These platforms may use information collected through their technologies to measure advertising performance, attribute conversions, create or measure advertising audiences, and personalize advertising according to their own privacy policies and user settings.

Third-party advertising providers, including Google, may use cookies or device identifiers based on previous visits to our website to display or measure advertisements on other websites and services.

Visitors can manage advertising and privacy preferences through the privacy and advertising controls provided by these platforms and through applicable browser or device settings.

Analytics and Advertising

We may use analytics tools to understand how visitors find and use our website, which pages are useful, and how the website performs.

We may also use advertising and measurement technologies to understand whether our promotional campaigns are effective and to reach audiences who may be interested in Sound Heart Conference or related programs, where permitted.

Information collected by these providers may be governed by their own privacy policies and settings.

When We Share Information

We do not sell or rent personal information.

We may share information with trusted organizations and service providers where reasonably necessary to operate our website, conference, programs, communications, and registrations. These may include ticketing and registration providers such as Eventbrite; website hosting and security providers; email and communication providers; payment processors; analytics and advertising providers; technical service providers; and professional advisers where necessary.

We may also disclose information when required or permitted by law, to respond to lawful requests, to protect the rights or safety of attendees or others, or to investigate fraud, misuse, or security incidents.

Privacy best practices require organizations to limit use and disclosure to identified purposes and retain information only as long as reasonably necessary for those purposes.

Processing Outside Canada

Some of the third-party services we use may store or process information outside Canada.

When information is processed in another country, it may be subject to the laws of that jurisdiction and may be accessible to courts, law-enforcement agencies, or government authorities according to applicable law.

Canadian privacy guidance recommends that organizations be transparent when service providers may process personal information in other countries.

How We Protect Personal Information

We use reasonable administrative, technical, and organizational safeguards appropriate to the nature and sensitivity of the information we handle.

These safeguards may include access restrictions, passwords, encryption and secure connections where appropriate, security tools, software updates, and limiting access to individuals who need information for legitimate organizational purposes.

No method of Internet transmission or electronic storage can be guaranteed to be completely secure. We therefore cannot guarantee absolute security, but we take reasonable measures intended to protect personal information from loss, theft, unauthorized access, disclosure, use, copying, or modification. Canadian privacy guidance similarly requires safeguards appropriate to the sensitivity of the information.

How Long We Keep Information

We retain personal information only for as long as reasonably necessary for the purposes for which it was collected, to maintain appropriate organizational or transaction records, to resolve disputes, or to satisfy applicable legal requirements.

When personal information is no longer reasonably required, we may securely delete, destroy, or anonymize it.

Limiting retention to what is reasonably necessary is one of the fair-information principles identified by Canada’s Privacy Commissioner.

Your Privacy Choices and Requests

Depending on the circumstances and applicable law, you may ask us about personal information we hold about you, request access to it, ask us to correct inaccurate information, or withdraw consent for certain uses where withdrawal is legally and practically possible.

You may also unsubscribe from marketing communications at any time.

Canadian privacy principles recognize rights relating to access to personal information and correction of inaccurate or incomplete information where the applicable privacy law applies.
